Article 1 (Scope of Application)
- Accommodation contracts and related contracts concluded between this hotel and its guests shall be governed by these Terms. Matters not provided for in these Terms shall be governed by laws and regulations or by generally established custom.
- Where the hotel agrees to a special contract that does not conflict with laws, regulations, or custom, that special contract shall prevail notwithstanding the preceding paragraph.
Article 2 (Application for an Accommodation Contract)
- A person who wishes to apply for an accommodation contract with the hotel shall provide the hotel with the following particulars:
- Name of the guest(s), contact phone number, and address
- Date(s) of stay and estimated time of arrival
- Accommodation charge (as a rule, based on the basic accommodation charge in Appended Table 1)
- Other particulars deemed necessary by the hotel
- If, during their stay, a guest requests to extend the stay beyond the date referred to in item 2 of the preceding paragraph, the hotel shall treat the request as an application for a new accommodation contract made at the time of the request.
Article 3 (Conclusion of the Accommodation Contract, etc.)
- When an accommodation contract has been concluded, the guest shall pay, by the date specified by the hotel, an application deposit set by the hotel, up to the basic accommodation charge for the period of stay (or for three days if the stay exceeds three days).
- The application deposit shall first be applied to the accommodation charge ultimately payable by the guest. If circumstances arise to which Article 6 or Article 18 applies, the deposit shall be applied to the cancellation charge and then to compensation, in that order; any remainder shall be refunded at the time of payment of charges under Article 12.
- If the application deposit is not paid by the date specified by the hotel pursuant to paragraph 2, the accommodation contract shall cease to be effective, provided that the hotel notified the guest to that effect when specifying the payment date.
Article 4-1 (Special Contract Requiring No Application Deposit)
- Notwithstanding paragraph 2 of the preceding Article, the hotel may agree to a special contract that does not require payment of the application deposit after the contract has been concluded.
- If, in accepting an application for an accommodation contract, the hotel does not request payment of the application deposit under paragraph 2 of the preceding Article or does not specify a payment date for it, the hotel shall be treated as having agreed to the special contract in the preceding paragraph.
Article 4-2 (Requests for Cooperation with Infection Control)
- The hotel may request the cooperation of persons seeking accommodation pursuant to Article 4-2, paragraph 1 of the Hotel Business Act (Act No. 138 of 1948).
Article 5-1 (Refusal of an Accommodation Contract or Use of the Facilities)
- The hotel may decline to conclude an accommodation contract or to permit use of its facilities in the following cases:
- When the application for accommodation does not conform to these Terms.
- When no rooms or facilities are available due to full occupancy.
- When the person seeking accommodation is deemed likely to act contrary to laws and regulations, public order, or good morals in connection with the stay.
- When the person is an organized crime group, a member, associate member, or affiliate of an organized crime group, or any other anti-social force; a corporation or other organization whose business activities are controlled by an organized crime group or its members; or a corporation any of whose officers falls under a member of an organized crime group.
- When the person seeking accommodation or use of the facilities behaves in a manner that causes serious inconvenience to other users, such as disorderly conduct or conduct causing danger or alarm.
- When the person seeking accommodation or use of the facilities is a patient, etc. of a specified infectious disease as provided in Article 4-2, paragraph 1, item 2 of the Hotel Business Act.
- When violent demands are made in connection with the stay, or burdens exceeding a reasonable scope are demanded (except where removal of social barriers is requested under Article 7, paragraph 2 or Article 8, paragraph 2 of the Act for Eliminating Discrimination against Persons with Disabilities).
- When the person seeking accommodation repeatedly makes demands to the hotel of the kind specified in Article 5-6 of the Ordinance for Enforcement of the Hotel Business Act, whose implementation would impose an excessive burden and seriously impede the provision of accommodation services to other guests.
- When accommodation cannot be provided due to natural disaster, failure of facilities, or other unavoidable causes.
- When the person seeking accommodation is intoxicated or otherwise behaving in a markedly abnormal manner, or is markedly unclean in body or dress, such that they are likely to cause inconvenience to other guests; or when a guest has behaved in a manner causing serious inconvenience to other guests (Article 4 of the Kyoto City Ordinance for Enforcement of the Hotel Business Act).
- When the person has previously engaged at this hotel in any conduct falling under this Article.
Article 5-2 (Request for an Explanation of Refusal)
- A person seeking accommodation may request the hotel to explain its reasons when the hotel declines to conclude an accommodation contract under the preceding Article.
Article 6 (The Guest’s Right to Cancel)
- A guest may cancel the accommodation contract by notifying the hotel.
- If a guest cancels all or part of the accommodation contract for reasons attributable to the guest (except where the hotel has specified a payment date for the application deposit under Article 3, paragraph 2 and the guest cancels before that payment), the hotel shall charge the cancellation fee set out in Appended Table 2. However, where the hotel has agreed to a special contract under Article 4-1, paragraph 1, this applies only if the hotel informed the guest, when agreeing to that special contract, of the guest’s obligation to pay a cancellation fee upon cancellation.
- If a guest does not arrive by 6 p.m. on the day of stay without contacting the hotel (or, where an estimated time of arrival has been indicated in advance, by two hours after that time), the hotel may treat the accommodation contract as having been cancelled by the guest.
Article 7-1 (The Hotel’s Right to Cancel)
- The hotel may cancel the accommodation contract in the following cases. The hotel shall bear no liability for damage arising from cancellation under this Article.
- When the guest is deemed likely to act, or to have acted, contrary to laws and regulations, public order, or good morals in connection with the stay.
- When the guest is deemed to fall under an organized crime group, a member, associate member, or affiliate of an organized crime group, or any other anti-social force.
- When the guest has behaved in a manner causing serious inconvenience to other users.
- When the guest is a patient, etc. of a specified infectious disease.
- When violent demands are made in connection with the stay, or burdens exceeding a reasonable scope are demanded (except where removal of social barriers is requested under Article 7, paragraph 2 or Article 8, paragraph 2 of the Act for Eliminating Discrimination against Persons with Disabilities).
- When the guest repeatedly makes demands to the hotel of the kind specified in Article 5-6 of the Ordinance for Enforcement of the Hotel Business Act, whose implementation would impose an excessive burden and seriously impede the provision of accommodation services to other guests.
- When accommodation cannot be provided due to force majeure such as natural disaster.
- When the case falls under the provisions of Article 4 of the Kyoto City Ordinance for Enforcement of the Hotel Business Act.
- When the guest smokes outside designated smoking areas, tampers with firefighting equipment, or otherwise fails to comply with the prohibitions in the hotel’s house rules (limited to those necessary for fire prevention).
- When the guest commits assault, intimidation, extortion, or other violent or coercive demands or conduct.
- When the guest behaves in a manner causing inconvenience to other guests or users, such as disorderly conduct or conduct causing danger or alarm.
- When it comes to light during the guest’s stay that the guest falls under any item of Article 5 or of this Article.
- When the hotel cancels the accommodation contract under the preceding paragraph, it shall not charge for accommodation services not yet provided to the guest.
Article 7-2 (Request for an Explanation of Cancellation)
- A guest may request the hotel to explain its reasons when the hotel cancels the accommodation contract under the preceding Article.
Article 8 (Registration)
- Guests shall register the following particulars at the front desk on the day of stay:
- Name, date of birth, gender, address, and contact details of the guest(s)
- For foreign nationals who do not have an address in Japan: nationality, passport number, port of entry, and date of entry
- Date and estimated time of departure
- Other particulars deemed necessary by the hotel
- When a guest intends to pay the charges under Article 12 by traveler’s check, accommodation voucher, credit card, or any other means in place of currency, these shall be shown in advance at the time of registration under the preceding paragraph.
- For foreign nationals, a copy of the passport will be taken for identity verification.
- Use of the guest room is limited to registered guests. Visitors may not enter the guest rooms.
Article 9 (Occupancy Hours of Guest Rooms)
- Guests may use the guest room from 3 p.m. to 12 noon of the following day. For consecutive stays, however, the room may be used all day except on the days of arrival and departure.
- Notwithstanding the preceding paragraph, the hotel may permit use of the room outside those hours, in which case the following additional charges apply:
- Up to 3 hours over: 30% of the room charge
- Up to 6 hours over: 50% of the room charge
- 6 hours or more over: 100% of the room charge
Article 10 (Observance of the House Rules)
- Within the hotel, guests shall observe the House Rules established by the hotel and displayed on the television in each guest room.
Article 11 (Business Hours)
- The business hours of the hotel’s main facilities are shown on the television in each guest room.
- These hours may be changed temporarily when unavoidable, in which case notice will be given by appropriate means.
Article 12 (Payment of Charges)
- The breakdown of accommodation charges payable by guests is as set out in Appended Table 1.
- Payment of the charges under the preceding paragraph shall be made at the front desk, at the time of the guest’s departure or when requested by the hotel, in currency or by traveler’s check, accommodation voucher, credit card, or other means accepted by the hotel.
- Accommodation charges shall be payable even if the guest voluntarily chooses not to stay after the hotel has provided the room and made it available for use.
Article 13 (Liabilities of the Hotel)
- The hotel shall compensate the guest for damage caused in the performance, or through the non-performance, of the accommodation contract and related contracts, unless the damage is due to causes not attributable to the hotel.
- Notwithstanding the preceding paragraph, when the hotel cannot arrange other accommodation, it shall pay the guest a compensation charge equivalent to the cancellation fee, which shall be applied to the amount of damages. However, no compensation charge shall be paid where the inability to provide a room is not attributable to the hotel.
- The hotel maintains ryokan liability insurance to cover fire and other emergencies.
Article 14 (Handling When a Contracted Room Cannot Be Provided)
- When the hotel cannot provide the contracted room, it shall, with the guest’s consent, arrange other accommodation on conditions as similar as possible.
- Notwithstanding the preceding paragraph, when the hotel cannot arrange other accommodation, it shall pay the guest a compensation charge equivalent to the cancellation fee, which shall be applied to the amount of damages. However, no compensation charge shall be paid where the inability to provide a room is not attributable to the hotel.
Article 15 (Handling of Deposited Articles)
- When loss, damage, or other harm occurs to goods, cash, or valuables deposited at the front desk, the hotel shall compensate for the damage unless caused by force majeure. However, for cash and valuables, if the hotel requested a declaration of their kind and value and the guest did not make such declaration, the hotel shall compensate up to a limit of 150,000 yen.
- When loss, damage, or other harm occurs, through the hotel’s intent or negligence, to goods, cash, or valuables brought into the hotel by the guest but not deposited at the front desk, the hotel shall compensate for the damage. However, for items whose kind and value were not declared in advance by the guest, the hotel shall compensate up to a limit of 150,000 yen, except in cases of intent or gross negligence on the part of the hotel.
Article 16 (Custody of Guests’ Baggage and Belongings)
- When a guest’s baggage arrives at the hotel before the stay, the hotel shall keep it responsibly only if the hotel agreed to do so before its arrival, and shall hand it over when the guest checks in at the front desk.
- When a guest’s baggage or belongings are found left behind after check-out and the owner is identified, the hotel shall contact the owner and ask for instructions. Where no instructions are given or the owner is not identified, the hotel shall keep the items for 7 days including the day of discovery, and dispose of them 90 days after discovery.
- The hotel’s responsibility for the custody of baggage and belongings in the preceding two paragraphs shall conform to paragraph 1 of the preceding Article in the case of paragraph 1, and to paragraph 2 of the preceding Article in the case of the preceding paragraph.
Article 17 (Liability for Parking)
- When a guest uses the hotel’s parking facilities, the hotel only lends the space, regardless of whether the vehicle key is deposited, and does not assume responsibility for the management of the vehicle. However, the hotel shall be liable for compensation when damage is caused by its intent or negligence in managing the parking facilities.
Article 18 (Liability of the Guest)
- When the hotel suffers damage due to the intent or negligence of a guest, the guest shall compensate the hotel for that damage.
Article 19 (Force Majeure)
- Neither party shall be liable for delay in or failure of performance of all or part of this contract due to force majeure not attributable to that party, including natural disaster, riot, terrorism, fire, accidents affecting transportation or communication lines, epidemics, and infectious diseases.
Article 20 (Governing Language)
- These Terms are prepared in Japanese and English. In the event of any inconsistency or discrepancy between the two versions, the Japanese version shall prevail.
Appended Table 1: Breakdown of Accommodation Charges (re: Article 2, Paragraph 1 and Article 12, Paragraph 1)

• The basic accommodation charge is based on the rate table posted on the hotel’s official website.
• No additional charge applies for children aged 6 or under sharing a bed with their parents or guardians in the same room, provided there is sufficient space in the room. A separate fee applies if bedding for the child is requested.
• If tax laws are amended, the amended provisions shall apply.
• Kyoto City accommodation tax: under the Kyoto City Accommodation Tax Ordinance, the following tax per person per night, according to the accommodation charge, is payable separately.

• The percentages are the ratio of the cancellation charge to the basic accommodation charge.
• If the number of contracted nights is shortened, a cancellation charge for one night (the first night) shall be charged regardless of the number of nights shortened.
• For group contracts, the provisions of any prior agreement (contract document) take precedence for cancellation charges.
• For individual reservations, any cancellation terms stated in the reservation confirmation take precedence.
